How to Track Generator Service by Engine Hours
A generator log works best when runtime and service records stay separate, then meet at the hour reading captured when the work was done.

Why generator records start with engine hours
Generator maintenance is often scheduled by operating hours, not miles. A date tells you how long the unit has sat, while the hour meter shows how much the engine has actually run.
That makes the first rule simple: record the reading while you are standing at the generator. Do not rely on memory after the storm, trip, job, or exercise run is over.
Honda's current EU2200i manual tells commercial users to log operating hours to determine maintenance intervals. Generac also describes hour meters as the source for scheduled maintenance reminders.
Capture a clean baseline
Start with the exact make, model, serial number, fuel type, current hour reading, and the date you captured it. Save the correct owner's manual with the same asset.
If the generator already has hours but no records, do not invent its past. Mark the reading as your starting baseline and note that earlier service history is unknown or incomplete.
For a used unit, keep the seller's documents and your own baseline separate. That makes it clear which facts you observed and which details came from someone else.
- Photograph the data plate and hour meter.
- Match the manual to the model and serial range.
- Record whether the meter shows total runtime or a maintenance countdown.
- Note any gap, meter replacement, rollover, or uncertain reading.
Separate runtime logs from service records
A runtime entry answers when and how long the generator ran. A service record answers what work was completed. Keeping them separate makes both histories easier to trust.
Log meaningful runs with the start and end readings, date, reason, and any observation worth revisiting. Then create a service record only when an inspection, maintenance task, or repair is actually completed.
An exercise run is not proof that the generator was fully inspected or serviced. A note such as 'started and carried load' should stay an observation, not a safety clearance.
Record each job at the current hour reading
When service is finished, capture the meter before you put the generator away. Record the date, hours, completed work, parts or fluids, cost, provider or DIY note, and any follow-up.
Use plain language. 'Changed engine oil at 42.6 hours' is more useful later than 'generator maintenance done.' If several tasks were completed, list them separately under the same event.
Keep proposed work distinct from completed work. An estimate, shopping list, or reminder can provide context, but it should never read like proof that the job happened.

Let the manufacturer schedule set the interval
There is no single correct service interval for every generator. Portable, inverter, standby, diesel, and commercial units can use different schedules, and conditions can change the recommendation.
Honda's EU2200i schedule uses both time and operating-hour thresholds, whichever comes first. It also says dusty or unusual operating conditions may require different recommendations.
Generac manuals provide another useful reminder that schedules vary by model. Save the interval exactly as your manual states it, along with the page or source, instead of copying a generic number from another machine.
Keep receipts, parts, and proof together
Attach the final invoice or receipt to the matching service event. Add a clear photo of the hour meter when it helps, plus part numbers or fluid specifications that will matter at the next service.
For DIY work, keep the purchase receipt and a short completion note. Photos can support the record, but a pile of unlabeled images is hard to use. Name what each image shows and why it belongs to the job.

Set the next reminder and prepare for handoff
After the job, calculate the next due signal only from the reviewed schedule. If the manual says time or hours, whichever comes first, keep both triggers and treat the earlier one as due.
Before storage, a season change, or a handoff, update the reading and scan for missing proof. A future owner or family member should be able to see what happened, what supports it, and what still needs attention.
